Planning together
Plan a remote coworker farewell with a sample 20-minute agenda, asynchronous message ideas, a clear deadline and a private book handover.

For a remote team farewell, collect messages before the last day and treat the live call as optional participation. A shared book lets coworkers in different time zones say goodbye without needing to attend the same meeting.
This is a planning example. Adjust the length for your team and avoid putting the recipient on the spot with a surprise speech. Ask before recording a call or sharing screenshots. Team Memory Book collects written messages and still photos; arrange any video calls or recordings separately.
A farewell call rarely fits every time zone or working pattern. Collect messages beforehand so people who cannot attend still have a chance to say goodbye. Choose when to give the book alongside the call, then work back from that date to set your contribution deadline.
Ask one person to own the project and make the final decisions. Set a contribution deadline with an explicit time zone and leave time to review the exported file. In the invitation, write the calendar date rather than only saying “Friday.” Colleagues on the other side of the world may be reading on a different day.
A remote teammate may remember a helpful chat message or a patient explanation on a call. Offer a prompt that includes those moments. Photos are optional; nobody needs a team lunch picture or a long shared history to take part.
A screenshot from a call can include private chats, customer names, home details or people who do not expect to appear in a farewell book. Ask permission and remove sensitive information before uploading. A caption can explain what a photograph means without naming every person or identifying where they live.
If you are sharing the book during a call, test the reading link on another device and keep the downloaded PDF ready. Let the recipient read it later if they prefer. Personal messages can be easier to take in quietly than in front of a group.
Read each message, check names and captions, and look for information that should stay within the team. Export a fixed version and open the actual PDF. Online reading links point to a particular finished version; later changes in the project do not silently rewrite a copy you already downloaded.
Online access is tied to the project’s access period. Encourage the recipient to save a local copy of the PDF while downloads are available. If you enable downloading on a reading link, check that it is the intended version and keep that link out of public channels. Do not describe the link as permanent storage.
